Pactora ("we", "our", "us") provides email automation services for trade contractors. This Privacy Policy explains how we collect, use, and protect your information when you use our platform.
1. Information We Collect
When you sign up and connect your email account, we collect:
- Your name, trade, business rates, and service area
- Your WhatsApp phone number for approval notifications
- Your email address and account connection credentials (managed securely via Nylas)
- Email content from your connected inbox for the purpose of drafting responses
- Job activity logs including sender, subject, and draft responses
2. How We Use Your Information
We use your information solely to provide the Pactora service:
- Monitoring your email inbox for new client messages
- Drafting professional response suggestions using AI
- Sending draft approvals to your WhatsApp number
- Sending approved emails from your email address on your behalf
- Maintaining a log of interactions for your reference
We do not sell, share, or use your data for advertising. We do not share your email content or client information with any third party except as required to operate the service (Nylas for email access, Twilio for WhatsApp messaging, and Anthropic for AI draft generation).
3. Email Data and Third Parties
Your email connection is managed by Nylas, a secure email infrastructure provider. Nylas accesses your inbox on your behalf under their own security certifications and privacy policy. You can revoke access at any time through your email provider's security settings.
Draft generation is processed by Anthropic's Claude API. Email content used for drafting is not stored by Anthropic and is processed in accordance with their API terms.
WhatsApp notifications are delivered via Twilio. Only the draft content and basic job details are included in these messages.
4. Data Retention
Your contractor profile and job activity logs are retained while your account is active. You may request deletion of your data at any time by contacting us. Upon account cancellation, your data is deleted within 30 days.
5. Your Rights Under PIPEDA
As a Canadian service, we comply with the Personal Information Protection and Electronic Documents Act (PIPEDA). You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Withdraw consent and request deletion of your data
- File a complaint with the Office of the Privacy Commissioner of Canada
6. Security
We take reasonable steps to protect your information. Email connections are managed through industry-standard OAuth protocols. We do not store email passwords. Access tokens are stored securely and can be revoked at any time.
